Greetings. We have some very fundamental matters to decide at the upcoming meeting, so I have made a list of proposals:
1. Organization Name and Bylaws
a. Proposal: The organization name and bylaws will be discussed and adopted at the December meeting.
b. Proposal: Anyone present at the December meeting is encouraged to participate in the discussion concerning the organization name and bylaws, but the current Founding Members will decide these matters.
2. Founding Members and Governing Committee
a. Proposal: Founding Members will act as the Governing Committee until the Annual meeting (in April), at which time the Governing Committee will be selected in accordance with the Bylaws (vote of the general membership).
b. Proposal: Anyone wishing to be considered a new Founding member must apply to be considered as such, and such application must be reviewed and decided upon by the current body of Founding Members.
c. Proposal: Any new Founding Member must represent an interest that is not well represented by the current founding members.
d. Proposal: There is to be a limit to the number of new Founding Members, and that limit will be set by the current Founding Members.
e. Proposal: There is to be no more than three new Founding Members per interest group.
f. Proposal: If possible, a Vice Chair and Membership Secretary shall be selected by the Founding Members at the December meeting.
g. The positions of Chair, Vice Chair, Recording Secretary, and Membership Secretary will be open for new appointment or re-appointment immediately after the election of the Governing Committee at the upcoming Annual Meeting, in accordance with the Bylaws.
Please take all of these as proposals resulting from my own brainstorming. Thus, material for open discussion...

Thanks for the time breaking down your thoughts on this coming meeting. I also would like to discuss a membership covenant that should be signed by all members. Holding the members accountable!

Trustees ?
Officers? President Vice President Vice President/ Chief Financial Officer Secretary
Staff Leadership? Office Manager Education Director Communications Director Live Event Technical Director Web Event Technical Director Special & Outreach Events Director

Sorry if I am jumping in haha. about a year ago I was part of a church plant and served on the trustee board and leadership team. found some weaknesses along the way and hope I can help.

i serve as a director of NARAS [grammy's ] now and and served on the national board of the Society of Professional Audio Recording Services where i revamped the by-laws. any help ya need please ask.
Being located now in Phily and with my 24 hr availabilty in the studio, it's rough for me to commit to monthly meetings at this point ..but i'd like to contribute knowledge if needed.
ONE important thing..any board with over 12 members becomes unweidly.. 8-12 directors is a good number
the directors can chair COMMITTEES ..which would include the membership
board meetings would be to discuss new issues, direct and report on committee meetings and do the usual due diligence on accounting , etc
some committees that might be relevant off the bat
membership events public relations

Also I think its important for Board members terms to be of staggered terms so as new board members come in there is experience on the board.

When and where is this meeting to be held? -Tim Tim, meetings are held on the third Wednesday of the month (except for the January meeting which wil be the second Wednesday) at 7pm. They are held at the Red Lion Inn (NOT the diner, hehe) near the Red Lion Circle. The address is 101 Red Lion Road Southampton, NJ. And the website... www.redlioninn.net/

I think the 2 hours for the meeting length is a good time span at this point. It is actually a long time, and there is never enough time.
It takes a little time to get a process and rythme going for meetings, especially so soon after formation. Can't expect to get resolution on everything for each meeting.
Its more like a continous long term effort being chipped away at each month, and as new agenda items come in and the trends start forming up. The club meeting helps to keep a focus and ongoing list of efforts and progress, and for people to see each other in person.
A lot of things can be discussed and streamlined outside of the meeting and on the forum. That helps to keep the issues focused at the meetings, so a clear task or point can be established. Issues are helped by having a point person to drive them or a committee with the highlights or proposals presented at the meetings.
Russ does have a big job with the current proposals. He'll have to see how topics are progressing within the time limit and move things along if not finished, so we have to be patient and expect items to extent over into the month and other meetings.
Usually the people running meetings, organizing the tasks, keeping status and membership information, etc. have repetative tasks to do at each meeting and all the maintenance of such between each meeting. They keep pretty busy. The organization body keeps pretty busy on the individual items and tasks, developing them and moving them along, getting them formalized and in place, and reporting. People overlap on these functions as well. Always more than can be done just at the meetings.
Its enjoyable, and sometimes a lot of work. Having things spread out across the entire group keeps everyone involved, and on the things they have most interest in. With so many interests involved, it will take a bit of work, and end up with some really good results for the cause.
The food part at the meetings is a nice touch too.
